This privacy policy applies to the use of the website and the services accessible through it from Trade in. The effective date for the validity of these conditions is 05/03/2024; with the publication of a new version, the validity of all previous versions expires. This privacy policy describes which data about you is collected by us, what these data are used for, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect your data against misuse, and what rights you have regarding the personal data you provide us.
Trade in does not have a data protection officer, but if you have any questions about our privacy policy, you can contact our contact person for privacy matters. You can find the contact details at the end of our privacy policy.
About data processing
Below you can read how we process your data, where we store it (or have it stored), which security techniques we use, and who has access to the data.

Our webshop is developed with software from Trade in CMS. Personal data that you provide to us for our services is processed in this CMS. Trade in has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have with them, Trade in is required to take appropriate security measures. These security measures include the use of SSL encryption and a strong password policy. Trade in uses cookies to collect technical information regarding the use of the software.

However, this party can collect metadata about the use of the services. These are not personal data. Cloudways has taken appropriate technical and organizational measures to prevent loss and unauthorized use of your personal data. Cloudways is bound to confidentiality based on the agreement.
Cloudflare
Our website uses the services of Cloudflare. Cloudflare provides us with protection against online threats (such as DDoS attacks) and ensures a faster loading time of our website by using the global Content Delivery Network (CDN). When using Cloudflare, certain data of visitors to our website, such as IP addresses, may be processed. Cloudflare acts as a data processor and processes this data in accordance with applicable privacy legislation. More information about the data processing by Cloudflare can be found in Cloudflare's privacy policy. We use Cloudflare solely to improve the security and performance of our website. Email and Mailing Lists
Sendgrid
Our website uses Sendgrid, a third party that handles the email traffic coming from our website and the sending of any newsletters. All confirmation emails you receive from our website and web forms are sent via the servers of Sendgrid. Sendgrid will never use your name and email address for its own purposes. At the bottom of every email sent automatically through our website, you will see the 'unsubscribe' link. If you click on this, you will no longer receive emails from our website. This may severely reduce the functionality of our website! Your personal data is securely stored by Sendgrid. Sendgrid uses cookies and other internet technologies to track whether emails are opened and read. Sendgrid reserves the right to use your data to further improve its services and, in this context, to share information with third parties.
Payment Provider
Pay.nl
For handling (a part of) the payments in our webshop, we use the payment provider Pay.nl. Pay.nl processes your name, address, and residence details and your payment details such as your bank account or credit card number. Pay.nl has taken appropriate technical and organizational measures to protect your personal data. Pay.nl reserves the right to use your data to further improve the service and, in this context, to share (anonymized) data with third parties. Pay.nl shares personal data and order data with post-payment service providers in case of a deferred payment request (credit facility). All the aforementioned safeguards regarding the protection of your personal data are also applicable to the parts of Pay.nl's services for which they engage third parties. Pay.nl does not store your data longer than is legally allowed.
Reviews
We collect reviews through the Google platform. If you leave a review via Google, you are required to do so using a valid Google account, and your profile photo and name are displayed. Google also publishes your name and profile photo on its own website. In some cases, Google may contact you to provide clarification on your review. If we invite you to leave a review, we share your name and email address with Google. They use this information solely to invite you to leave a review. Google has taken appropriate technical and organizational measures to protect your personal data. Google reserves the right to engage third parties for the provision of the service; we have given Google permission for this. All the aforementioned safeguards regarding the protection of your personal data are also applicable to the parts of Google's services for which they engage third parties. Google retains your personal data as long as you keep the review published on the platform.

Purpose of Data Processing
General Purpose of Processing
We use your data solely for the purpose of our services. This means that the processing purpose is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share information with us and we use this information to contact you at a later time – other than at your request – we will ask for your explicit consent. Your data is not shared with third parties other than to fulfill accounting and other administrative obligations. These third parties are all bound to confidentiality based on the agreement between them and us or an oath or legal obligation.
Automatically Collected Data
Data that is automatically collected by our website is processed for the purpose of further improving our services. These data (e.g., your IP address, web browser, and operating system) are not personal data.
Cooperation in Fiscal and Criminal Investigations
In some cases, Trade in may be required by law to share your data in connection with governmental fiscal or criminal investigations. In such a case, we are forced to share your data, but we will oppose it within the possibilities provided by law.
Retention Periods
We store your data as long as you are our client. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also interpret this as a forget request. This means that we do not retain your data longer than two years from the last contact or transaction unless there is a legal justification. Based on applicable administrative obligations, we are required to keep invoices with your (personal) data, so we will keep these data for as long as the applicable period lasts. However, employees no longer have access to your client profile and documents created in response to your assignment.
Your Rights
Under applicable Dutch and European legislation, you, as a data subject, have certain rights regarding the personal data that is processed by or on behalf of us. We explain below which rights these are and how you can invoke these rights. In principle, we send copies and transcripts of your data only to your already known email address to prevent misuse. If you wish to receive the data at another email address or, for example, by post, we will ask you to identify yourself. We keep records of completed requests; in the case of a forget request, we administer anonymized data. All copies and transcripts of data you receive in the machine-readable data format we use within our systems. You always have the right to submit a complaint to the Dutch Data Protection Authority if you suspect that we are using your personal data in the wrong way.
Right of Access
You always have the right to inspect the data that we process or have processed and that relates to your person or is traceable to you. You can submit a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data to the email address known to us, along with an overview of the processors holding this data, specifying the category under which we have stored this data.
Right to Rectification
You always have the right to have the data that we process or have processed and that relates to your person or can be traced back to you, amended. You can submit a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you confirmation that the data has been adjusted to the email address known to us.
Right to Restrict Processing
You always have the right to restrict the data we process or have processed that relates to your person or is traceable to you. You can submit a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you confirmation that the data will no longer be processed until you lift the restriction to the email address known to us.
Right to Portability
You always have the right to have the data that we process or have processed and that relates to your person or can be traced back to you, carried out by another party. You can submit a request to that effect to our contact person for privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or transcripts of all data about you that we have processed or have been processed by other processors or third parties on our behalf to the email address known to us. In all likelihood, we will no longer be able to continue the service in such a case because the secure linking of data files can no longer be guaranteed.
Right to Object and Other Rights
In certain cases, you have the right to object to the processing of your personal data by or on behalf of Trade in. If you object, we will immediately stop data processing pending the handling of your objection. If your objection is well-founded, we will make copies and/or transcripts of data that we (or have) processed available to you and then permanently stop the processing. In addition, you have the right not to be subject to automated individual decision-making or profiling. We do not process your data in such a way that this right applies.
